Create and follow up a quotation
Prepare a customer quotation with items, ingredients, prices and additional details.
Before you begin #
Set up the customer, stock variants, units and applicable rates. Your company may require extra fields or an approval workflow.
Step by step #
- Open Vouchers and select Quotation before using Add; or choose Quotation in POS.
- Select the party and check the quotation number and date.
- Add item variants. Set quantity, unit, godown and rate as shown by the form.
- Open Ingredients when a selected variant has a bill of materials; check quantities and configured custom values.
- Review discounts, GST, charges and any Additional Details form.
- Save and reopen the quotation to verify it.
- Use the saved record’s available actions to print, follow up or convert it when your workflow permits.
Understand the fields #
- Party: the customer receiving the quotation.
- Ingredients: component rows for the selected finished item; Apply confirms edits to the current form.
- Additional Details: company-configured forms; required entries must be complete.
- Total: review the final amount after taxes and charges, not only the line rate.
Check the result #
The saved quotation should contain the intended items, quantities and customer. A quotation is not a posted sales invoice.
If something goes wrong #
If Save fails, correct highlighted fields without discarding your draft. If a conversion is unavailable, check status, permission and whether quantities were already converted.
On mobile #
Open the same module from the app menu. Use the record card or its actions menu. Scroll through the form before saving so that required fields and validation messages are not missed. Your permissions still apply.
Choose a quotation entry point #
You do not have to create a lead just to make a direct quotation. Use Vouchers/POS for a direct customer quote. Use the lead's quotation action when the quote needs to remain connected with a CRM inquiry and its follow-up history.
Dashboard Quick Ops #
- Open Dashboard and its Quick Ops area if configured for your account.
- Find the Quotation widget and use its add/create action.
- Select the customer, review the quotation date and fill the item builder.
- Save and return to the widget or quotation list to verify the document.
If the widget is absent, use Vouchers or ask your administrator about dashboard configuration. Widget visibility does not grant transaction permission.
Dashboard quotation widget #
Open the available Quotation widget on Dashboard. Use its create action for a direct quote, or open an existing record to continue it. Check the customer before editing; a widget can display more than one customer's records.
Lead-linked quotation #
- Open the intended lead from Leads.
- Use its Quotation action or quotation area where available.
- Review the prefilled customer/lead context instead of changing it unintentionally.
- Add the required items and additional details, then save.
- Return to the lead and verify the quotation is linked to the intended inquiry.
Lead activity types configured for quotation actions can also provide an entry point. Ask your administrator if the expected action is not available.
Review ingredients before sending #
The Ingredients popup identifies the selected finished item at the top. Check included components, quantities, rates and custom values. Apply changes and then save the quotation itself. Applying the popup alone does not save the quotation.
After saving #
Reopen the saved record to confirm customer, quantities and total. Use the available print/share or conversion actions for that status and your permissions. Review any generated document's source reference and remaining quantity to avoid duplicate fulfillment.
