Record purchases and goods received
Choose Purchase, Purchase Order or Receipt Note according to the transaction you are recording.
Menus and actions depend on your company's settings and your access. If something is missing, ask your company administrator.
Before you begin #
Set up the supplier, variants, units, godown and appropriate accounting/tax settings.
Step by step #
- Choose the required purchase-side voucher type in Vouchers or POS.
- Select the supplier and document date.
- Add variants with quantities, units, godown and supplier rates.
- Complete GST, batch/serial and additional fields when required.
- Review totals, discounts and charges before saving.
- Check the saved status and associated inventory/accounting effect.
Understand the fields #
- Purchase Order: an order to a supplier, not the same as a purchase invoice.
- Receipt Note: records receipt of goods in the applicable workflow.
- Purchase: the purchase invoice transaction.
- Godown: location receiving the goods.
Check the result #
Use the appropriate source/conversion workflow to avoid recording the same movement twice. Compare the saved document with stock and ledger reports.
If something goes wrong #
If a source document cannot be selected, check remaining quantities, status and access. Required GST classification must be valid even if the calculated tax amount is zero.
On mobile #
Open the same module from the app menu. Use the record card or its actions menu. Scroll through the form before saving so that required fields and validation messages are not missed. Your permissions still apply.
