Menus and actions depend on your company's settings and your access. If something is missing, ask your company administrator.

Before you begin #

Have the party ledger and correct cash/bank ledger ready. Know whether the transaction is money coming in or going out.

Step by step #

  1. Choose Receipt for incoming money or Payment for outgoing money in Vouchers/POS.
  2. Check date and document number.
  3. Add the party ledger, cash/bank ledger and amount.
  4. Use Add Ledger Row for further rows where available.
  5. Review Total Amount and use Map Vouchers to allocate the settlement where appropriate.
  6. Enter narration and save.
  7. Reopen the document and verify mapped amounts and outstanding balances.

Understand the fields #

  • Party ledger: whose account is settled.
  • Cash/Bank ledger: where money is received or paid.
  • Map Vouchers: links this payment to existing documents.
  • Narration: a useful transaction reference.

Check the result #

The receipt/payment amount and the intended settlement must agree. An unallocated amount is not automatically a settlement of an arbitrary invoice.

If something goes wrong #

If no voucher is offered, check the party, eligibility, remaining amount and permissions. If an accounting ledger is required, ask an authorized user to complete Accounting Setup.

On mobile #

Open the same module from the app menu. Use the record card or its actions menu. Scroll through the form before saving so that required fields and validation messages are not missed. Your permissions still apply.
